This Privacy Policy explains how Codepoet LLC, doing business as RapidQuote AI (“RapidQuote,” “we,” “our,” or “us”), collects, uses, discloses, and protects personal information in connection with rapidquoteai.com and our electrical-parts quoting services (the “Services”). This policy is a notice about our privacy practices; it is not a substitute for any consent required by applicable law.
2. What We Do
RapidQuote provides a platform where companies upload inventory, receive product quote requests (including by email), and send price quotes generated with the help of artificial intelligence. Vendors control their inventory data and the quotes they send.
3. Information We Collect
Depending on how you interact with RapidQuote, we may collect:
- Account information: company name, contact name, business email address, password (stored hashed), and any optional details you provide such as telephone number or address.
- Inventory data: the products and inventory you upload, including descriptions, specifications, quantities, and pricing.
- Quote request and quote data: quote requests you send or receive, the quotes generated in response, and related communications. Quote requests that arrive by email include the content of those emails, which is processed to extract the requested items.
- Payment and transaction information: Stripe processes payment-card and payment-method details. We do not receive complete payment-card numbers. We receive transaction information such as payment status, amounts, subscription status, and Stripe identifiers.
- Contact and support information: information submitted through our contact form or in other communications with us.
- Website and device information: IP address, browser and device information, request and access times, referring pages, and similar server-log or security information.
4. Sources of Information
We collect information directly from you; from your employer or other authorized users of your company’s account; automatically when you use the website or Services; from emails sent to our quote-request addresses; and from Stripe and other service providers involved in delivering the Services.
5. How and Why We Use Information
We use personal information to:
- Provide, operate, maintain, and support the Services, including matching inventory to quote requests and generating and delivering quotes;
- Process orders, payments, subscriptions, and account changes;
- Authenticate users and protect accounts, systems, and customers;
- Detect and prevent fraud, abuse, and security events;
- Respond to inquiries and support requests;
- Communicate service, billing, security, and policy updates;
- Improve and troubleshoot the Services;
- Comply with legal obligations and enforce our agreements; and
- Send marketing communications where permitted, subject to applicable opt-out and consent requirements.
AI processing: the content of quote-request emails and related inventory data is processed by third-party AI providers (currently OpenAI) to parse requests, match inventory, and generate quotes. We do not permit these providers to use your data to train their models.
6. Price Confidentiality
We do not publish your inventory or pricing. Your prices appear only in the quotes sent to the party that requested them. We do not show one vendor’s prices or inventory to another vendor.
7. How We Disclose Information
We may disclose personal information to:
- Payment providers: Stripe, which processes checkout, payments, billing, fraud prevention, refunds, and disputes. Stripe’s practices are described in its own privacy policy.
- Service providers: hosting, cloud, email-delivery, AI, security, analytics, and professional-service providers that help us operate the Services.
- Quote participants: when you send a quote, its contents go to the party that requested it. When you send a quote request, its contents go to the vendors it is addressed to.
- Your organization: other authorized users associated with your company’s account.
- Authorities and affected parties: when required by law or when reasonably necessary to protect rights, safety, security, the Services, our providers, customers, or third parties.
- Transaction participants: parties and advisers involved in a financing, merger, acquisition, reorganization, or sale of all or part of our business, subject to appropriate confidentiality protections.
We do not sell personal information for money and do not share personal information for cross-context behavioral advertising.
8. Cookies and Similar Technologies
We use cookies that are necessary to provide, secure, and operate the website and Services, including authentication cookies. We use Google Analytics to understand how the website is used; Google Analytics sets its own cookies and is governed by Google’s privacy policy. Our forms use Cloudflare Turnstile to prevent abuse. Embedded Stripe Checkout may use cookies for checkout, fraud prevention, security, and optional Stripe services.
9. Retention
We retain personal information for as long as reasonably necessary for the purposes described in this policy. The retention period depends on the nature of the information, the duration of the customer relationship, operational and security needs, and legal, tax, accounting, and recordkeeping obligations. We may retain limited information after an account closes when necessary for those purposes.
10. Security
We use administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, use, alteration, and disclosure. No system or transmission method is completely secure, and we cannot guarantee absolute security. You are responsible for protecting your account credentials and promptly reporting suspected unauthorized access.
11. Privacy Rights and Choices
Depending on where you live and subject to applicable exceptions, you may have the right to request access to, correction of, deletion of, or portability of your personal information, or to opt out of marketing communications. To make a request or ask a privacy question, use our contact form. We may need to verify your identity, authority, or account before acting. Some information may be exempt from a request or retained where permitted or required by law.
12. Children’s Privacy
The Services are intended for business users and are not directed to individuals under 18. We do not knowingly collect personal information from children.
13. Changes to This Policy
We may update this policy to reflect changes in our practices, Services, or legal obligations. We will post the updated policy and revise the date above. When required by law, we will provide additional notice.
